We are looking for an experienced Administration Manager to run our medical facility.
To be successful in this role, you should have a deep understanding of all administrative Clinic procedures, from creating work schedules and communicating with doctors to budgeting and maintaining supplies stock. You will use your organizational and leadership skills to supervise employees and ensure compliance with policies and regulations.
Ultimately, you’ll be responsible for making sure our Clinic operations run smoothly.
Responsibilities
The Medical Center & Pharmacy Manager is responsible for the overall administration, operations, compliance, and financial performance of the medical center and attached pharmacy. The role ensures high-quality patient care, regulatory compliance, efficient workflows, staff management, and business growth.
Key ResponsibilitiesOperations & Administration
- Oversee daily operations of the medical center and pharmacy
- Ensure smooth coordination between doctors, nurses, pharmacists, and administrative staff
- Monitor patient flow, service quality, and operational efficiency
- Develop and implement standard operating procedures (SOPs)
Regulatory & Compliance
- Ensure compliance with DOH regulations and local healthcare laws
- Maintain licenses, permits, and accreditation requirements
- Ensure pharmacy operations comply with drug control and safety regulations
- Conduct internal audits and corrective actions when required
Staff Management
- Recruit, train, schedule, and supervise medical, pharmacy, and administrative staff
- Conduct performance evaluations and staff development programs
- Maintain discipline, teamwork, and professional conduct
- Resolve staff issues and patient complaints effectively
Financial & Inventory Management
- Prepare budgets and monitor expenses and revenue
- Oversee pharmacy inventory, stock control, and expiry management
- Approve purchases, manage vendors, and negotiate contracts
- Ensure accurate billing, insurance claims, and cash handling
Patient Care & Service Quality
- Ensure excellent patient experience and satisfaction
- Handle escalated patient concerns professionally
- Ensure confidentiality and ethical standards in patient care
- Improve service quality through feedback and audits
Business Development
- Support marketing and promotional activities
- Analyze performance reports and implement growth strategies
- Build relationships with insurance providers, suppliers, and partners
- Identify opportunities to expand services and increase revenue
Qualifications & Skills
- Bachelor’s degree in Healthcare Management, Pharmacy, Business Administration, or related field
- Minimum 3–5 years experience in medical center or pharmacy management
- Strong knowledge of healthcare regulations and insurance processes
- Excellent leadership, communication, and problem-solving skills
- Proficiency in healthcare software, billing systems, and MS Office
- Ability to work under pressure and manage multiple departments
Preferred Skills
- Experience in UAE healthcare sector
- Knowledge of insurance portals and approvals
- Strong analytical and decision-making abilities
