ADMIN MANAGER – FACILITIES MANAGEMENT

Job description

  • Planning and coordinating administrative procedures and systems and devising ways to streamline processes.
  • Prepare and report performance metrics for use in company and related facilities.
  • Provide supervisory support and training for the required teams to handle and manage various sites and locations under facilities management.
  • Ensure required reports are prepared, accurate, and submitted in a timely manner.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Maintain knowledge of up-to-date industry standards and automation improvements for facilities management.
  • Support building operations team to ensure all building services are delivered in accordance with all lease requirements, contractual obligations, and good operating practices.
  • Administrative duties including proofreading, typing of all correspondence and reports, filing, maintaining up-to-date Tenant Contact Lists and Tenant lease files, purchasing and maintaining office supplies and equipment.
  • Monitor inventory of office supplies and the purchasing of new materials with attention to budgetary guidelines.
  • Monitor costs and expenses to assist in budget preparation.
  • Oversee facilities services, maintenance activities and tradespersons (e.g electricians, plumbers, various facilities management vendors).

Organize and supervise other office activities (recycling, renovations, event planning etc.).

  • Support the Facilities Management team in managing commercial office space and perform backup duties for the team when they are away from the office.
  • Accurately prepare invoices to Tenants for Facilities Management’s approval.
  • Assist in receivables collections and publish proper periodic reports of outstanding items

An Ideal Candidate :-

  • Very good proven track record of handling the Admin role for Facilities Management
  • Candidate is to be highly organized, self-motivated, proactive, and can work independently
  • Should possess very good negotiation and influencing skills with a proven track records.
  • Candidate must be able to work with fast pace team with multiple clients
  • Should be comfortable to drive 2-wheeler/4-wheeler and flexible to work in different shifts and not be a clock-watcher.

Job Type: Full-time

Pay: Up to ₹300,000.00 per year
