Zindagi Trust is actively seeking a Admin Officer to be positioned at our adopted government school, Khatoon-e-Pakistan Government Girls Secondary School, located in Bahadurabad, Karachi.

Position Summary

The Admin Officer is responsible for institutional data governance, academic data coordination, analytical reporting, and asset oversight. The role ensures the accuracy, integrity, and strategic use of student and teacher data to support decision-making at campus, Head Office HO, and DEO levels. The Admin Officer works closely with Section Heads, parents, and school leadership to monitor admissions, attendance, performance, and dropout trends while ensuring smooth administrative execution and audit readiness.

Core Responsibilities

1. Master Data Management

  • Maintain and validate Student Master Data admissions, enrolment, transfers, promotions, dropouts, stuck-off cases.

  • Maintain Teacher Master Data attendance, assignments, leave records.

  • Conduct periodic audits to ensure complete accuracy and alignment between digital and physical records.

  • Prepare and verify official submissions for HO and DEO.

2. Academic Data Coordination

  • Coordinate with Section Heads on performance data, result compilation, promotion/retention lists, admissions, and absenteeism cases.

  • Consolidate section-wise data into campus-level reports.

  • Identify and flag at-risk students based on attendance and academic trends.

  • Ensure timely processing of results and report cards.

3. Data Analysis & Reporting

  • Generate analytical reports on attendance trends, chronic absenteeism, promotion/retention, dropout analysis, and admissions.

  • Prepare dashboards and presentations for campus reviews, HO, and DEO reporting.

  • Develop concise, research-based briefs with data-driven recommendations.

4. AI-Integrated Data Management

  • Utilize AI tools for data cleaning, organization, pattern identification, and predictive insights.

  • Automate repetitive processes and enhance reporting efficiency through digital systems.

5. Administrative Oversight

  • Supervise printing and documentation processes execution by Admin Assistant.

  • Monitor report card preparation and review attendance/late arrival summaries.

  • Ensure compliance with internal data management systems and procedures.

6. Asset Governance & Audit Readiness

  • Supervise asset tagging and ensure all procured assets are tagged before deployment.

  • Maintain and reconcile the Fixed Asset Register.

  • Conduct periodic physical verification with the Admin Assistant.

  • Identify discrepancies and ensure documentation is accurate and audit-ready.

  • Prepare asset reports for Admin Manager review and coordinate with audit teams.

7. Accountability Structure

  • The Admin Officer maintains an accurate and reconciled Fixed Asset Register and ensures audit compliance, with final oversight by the Admin Manager.

8. Event Support Need-Based

  • Provide logistical and documentation support during school events.

  • Prepare data summaries, participant lists, and reporting materials as required.

Requirements

  • 01 to 02 Years of Relevant Experience.

  • Bachelor’s or Master’s degree Education, Management, Data or related field preferred

  • Advanced proficiency in MS Office Excel – Pivot Tables, VLOOKUP/XLOOKUP, data validation; PowerPoint; Word

  • Strong analytical and data interpretation skills

  • Competence in AI tools for data management and reporting

  • Strong academic writing and report drafting skills

  • Excellent verbal and written communication skills

  • High level of accuracy and attention to detail

  • Ability to coordinate across departments and manage timelines
