This position provides administrative/clerical support to the Program Manager, and other staff when directed. Tasks will vary among developing and refining office procedures to being part of large-scale projects. The incumbent ensures that information is safeguarded from unauthorized access and improper disclosure and is shared consistent with applicable statutes and regulations regarding privacy and confidentiality.
Provides general administrative support to the Program Manager, including assisting in planning statewide events, monitoring internal email groups for accuracy, processing mail, responding to inquiries by email, mail and phone, maintaining supplies and equipment, and otherwise tending to the administrative needs of the division.
Serve as liaison to Human Resources and fiscal divisions, including tracking all necessary time sheets and leave information as directed, for staff; making all SMART entries for travel, supplies, materials, and other items purchased; and interfacing with those two divisions as needed to ensure all information is exchanged as needed, and that Reentry staff are in compliance with requirements of those divisions.

Design and assist with newsletters, publications, and reports for distribution to public officials and/or
general public. Create presentations; prepare and publish documents for web sites and maintain existing web site
pages. Uses internet for researching information
Supports the collection of data as requested, tracking referral and outcomes, including related to the Substance Abuse Program, Housing Specialist, fidelity audits, reentry/release plan audits, and otherwise, as directed. This includes setting up Excel or Access files; pulling data from Athena or other KDOC systems; recording/entering data from referral and data collection forms; and collating and reporting this information to the Executive Director and Division Directors.
Provides support as directed for the programs and services managed by reentry, including; processing requests for information regarding benefits (SSI, TANF, education, etc.), driver’s license status, SS cards, veterans benefits, or other services and resources, as directed; communicating with providers and staff as needed to coordinate the delivery of services. This position also assists in preparing packets and recording results from the Sex Offender Override Committee, the Multi-Discipline Team, the supportive housing teams, and other inter-discipline work groups, as directed.
Other duties and projects as assigned
Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency.
Advanced knowledge of Excel, including setting up databases and preparing reports.
Knowledge of KDOC Systems
Technical writing experience.
Experience handling fiscal and/or human resources issues.
Experience providing support to programs and/or multi-discipline teams.
Experience working in a role with access to confidential information.
