JOB SUMMARY

The Admin - Strategic Partnerships & Fundraising plays a vital role in supporting Emirates Nature–WWF’s fundraising and partnership operations through effective coordination, administration, and governance oversight. The position ensures that all donor and partner engagement activities — from onboarding to reporting — are executed efficiently, transparently, and in full compliance with UAE fundraising regulations set by the Department of Community Development (DCD) and the Ministry of Community Development (MOCD).

Working closely with the Unit members and the wider EN-WWF team, the role provides operational and administrative support across all aspects of the fundraising lifecycle, including donor data management, CRM reporting, proposal and MoU tracking, financial reporting, and event coordination. The Admin - Strategic Partnerships & Fundraising also plays a key role in ensuring that all partner relationships are nurtured with excellence and that digital engagement, communications, and stewardship are delivered to the highest standards.

This role bridges operational efficiency and donor experience — maintaining the accuracy of fundraising systems, ensuring compliance with internal policies and national laws, and enabling the organization to build long-term, sustainable partnerships that advance Emirates Nature–WWF’s mission to safeguard nature and promote sustainable development across the UAE.


BACKGROUND

Emirates Nature is a UAE environmental non-governmental charity, established in 2001 under the Honorary Founder and President H.H. Sheikh Hamdan bin Zayed Al Nahyan as a legacy of the late Sheikh Zayed’s vision for the United Arab Emirates. HH Sheikh Hamdan bin Zayed Al Nahyan is the Ruler’s representative in the Al Dhafra Region and Chairman of Environmental Agency – Abu Dhabi (EAD) Board of Directors.

We operate with offices in Abu Dhabi, Dubai, and Fujairah and are governed by a local Board of Directors.


Emirates Nature works in association with WWF, one of the world’s largest and most respected independent conservation organizations. Emirates Nature-WWF has been active in the UAE for over two decades and is renowned for its commitment to biodiversity conservation, habitat protection, sustainable development, and community engagement. Our marine conservation program is a flagship initiative, implementing science-based projects to protect coral reefs, fisheries, turtles, and other marine species, while supporting national policies and international commitments to biodiversity.

MAJOR DUTIES AND KEY RESPONSIBILITIES

Fundraising Coordination & Donor Administration
  • Support the implementation of Emirates Nature–WWF’s Strategic Partnerships and Fundraising Strategy, ensuring the delivery of high-quality administrative and operational support across all donor and partnership activities.
  • Coordinate and manage donor and partner accounts, including memberships, sustainable giving, and corporate partnerships, ensuring timely onboarding, renewals, and reporting through CRM platforms (Salesforce, Monday.com, HubSpot).
  • Maintain accurate and comprehensive records of all partners and donors, including contracts, agreements, correspondence, and engagement history, ensuring data integrity and alignment with organizational standards.
  • Prepare and track partnership documentation such as proposals, MoUs, contracts, and amendments, ensuring they are reviewed, approved, and signed in a timely manner.
  • Develop and maintain a central partnership calendar to monitor deliverables, reporting deadlines, renewals, and key donor milestones.
  • Support the coordination of internal resources to ensure timely delivery of partnership commitments, deliverables, and branding requirements.
Digital Engagement & Communications Support
  • Ensure effective digital engagement and stewardship of all partners and donors through coordinated email updates, newsletters, and social media collaboration with the Communications and Marketing teams.
  • Maintain partner and donor profiles across digital platforms, ensuring accurate representation, visibility, and timely updates.
  • Support in the development and dissemination of impact stories, donor recognition materials, and digital campaigns to enhance donor experience and engagement.
  • Uphold brand guidelines and ensure consistent, professional communication across all channels.
CRM, Reporting & Data Management
  • Administer, update, and extract reports from CRM systems (Salesforce, Monday.com, HubSpot) to monitor donor engagement, financial performance, and partnership KPIs.
  • Generate analytical and progress reports to support internal monitoring, donor reporting, and decision-making.
  • Support integration and data migration efforts between CRM systems, ensuring accuracy, security, and confidentiality of donor information.
  • Maintain dashboards, partner tracking logs, and digital records for internal and external audits.
Governance, Legal Compliance & DCD Coordination
  • Ensure all fundraising and partnership activities comply with UAE laws governing charitable fundraising, including MOCD and DCD regulations.
  • Prepare and submit documentation for fundraising approvals, event permits, and partnership clearances to relevant authorities in coordination with the Legal and Compliance teams.
  • Maintain auditable records of all approvals, reports, and permits issued by DCD/MOCD for ongoing and completed fundraising campaigns.
  • Support the implementation of internal controls to ensure transparency, accountability, and adherence to EN-WWF’s governance standards.
  • Serve as a liaison with DCD/MOCD for fundraising-related matters and stay informed of regulatory updates impacting NGO fundraising operations.
Donor Stewardship & Relationship Management
  • Maintain an updated database capturing donor preferences, giving history, and partnership objectives to ensure personalized engagement and long-term retention.
  • Support in planning and executing partner and donor events, field visits, and recognition activities.
  • Coordinate donor deliverables with cross-functional teams (Finance, Conservation, Marketing) to ensure timely, high-quality fulfillment.
  • Manage small donations, payments, and crowdfunding campaigns, ensuring proper documentation, acknowledgement, and reconciliation in coordination with Finance.
  • Respond promptly and professionally to partner inquiries, ensuring excellent customer service and satisfaction.
Inventory & Collateral Management
  • Oversee fundraising and marketing inventory, including merchandise, promotional materials, and event items (e.g., plush toys, giveaways, signage).
  • Manage stock records, orders, and distribution for partner activations and campaigns, ensuring timely delivery and cost efficiency.
  • Track usage and maintain accurate records of all branded materials in line with procurement and finance procedures.
Financial & Reporting Support
  • Assist in preparing quarterly and annual financial reports on fundraising performance for internal management, WWF International, and board-level submission.
  • Track income, expenditures, and cost recovery associated with partnership and fundraising activities, in close coordination with Finance.
  • Support monitoring of donor payment schedules, invoicing, and acknowledgments to ensure accuracy and timeliness.
Operational & Administrative Support
  • Provide day-to-day administrative support to the Director and team, including scheduling meetings, maintaining calendars, handling correspondence, and taking minutes.
  • Manage document control, version tracking, and archiving of partnership-related materials.
  • Coordinate logistics for internal and external fundraising meetings, donor visits, and partner engagements.
  • Undertake ad-hoc tasks and special projects as requested to support the smooth functioning of the Strategic Partnerships Unit.
Continuous Improvement & Best Practice
  • Contribute to strengthening systems and workflows for more efficient partnership and donor management.
  • Identify opportunities to streamline reporting, approvals, and donor engagement processes.
  • Ensure confidentiality and compliance with data protection and privacy laws applicable to donor information in the UAE.
  • Participate in EN-WWF-wide initiatives, events, and cross-functional collaborations to promote a culture of partnership and shared purpose.

REQUIREMENTS

Education
  • University Degree in Business Management, Development Studies or related fields.
Experience
  • Minimum 5 years professional experience in similar capacity.
  • Knowledge and experience of the realities of development issues, Donor Institutions, and the Not-for-Profit sector preferred.
  • Excellent understanding of development partnerships, fund-raising, donor strategies, functions, and international relations.

EDUCATION/SKILLS

  • Hands-on advance experience in Saleforce, Monday.com and Hubspot
  • Excellent oral and written communication skills in English; Arabic would be an added advantage
  • Excellent inter-personal skills, and ability to maintain strong relationships, Strong cross-cultural skills and versatility in dealing with different types of partnerships
  • Friendly and approachable as well as proven acumen of written and oral communication skills.
