Job Summary
The Admin Supervisor is responsible for overseeing daily administrative operations of the facility management company, ensuring smooth coordination between teams, clients, vendors, and head office. The role ensures compliance with company policies, proper documentation, staff coordination, and efficient administrative support to operational teams.
Key Responsibilities1. Administrative Operations
- Supervise and manage daily administrative activities across sites.
- Maintain records of contracts, service agreements, staff files, and compliance documents.
- Ensure proper documentation for audits and inspections.
- Monitor office supplies and procurement requirements.
2. Staff Coordination & HR Support
- Supervise attendance, leave records, and staff scheduling.
- Coordinate recruitment documentation and onboarding for site staff.
- Ensure proper deployment of manpower as per contract requirements.
- Handle staff grievances and administrative disciplinary matters.
- Monitor uniform issuance and ID cards.
3. Client & Vendor Coordination
- Coordinate with clients regarding administrative matters.
- Manage vendor documentation, quotations, and approvals.
- Track vendor payments and service agreements.
- Ensure timely submission of invoices and supporting documents.
4. Compliance & Reporting
- Ensure compliance with company SOPs and client requirements.
- Maintain statutory compliance documents (labor laws, EOBI, social security, etc. – if applicable).
- Prepare monthly administrative reports.
- Support internal and external audits.
5. Asset & Inventory Management
- Maintain asset registers for equipment and tools.
- Monitor issuance and return of materials.
- Coordinate with store/inventory department.
6. Financial & Documentation Support
- Assist finance department with payroll inputs and attendance records.
- Monitor petty cash usage and expense reporting.
- Track contract renewals and insurance documents.
Required Qualifications
- Bachelor’s degree in Business Administration or related field.
- 3–5 years of administrative experience (preferably in Facility Management, Construction, or MEP industry).
- Strong knowledge of documentation and reporting systems.
- Proficiency in MS Office (Excel, Word, Outlook).
- Good communication and coordination skills.
