Key Responsibilities
- Manage company vehicles, including allocation, maintenance scheduling, fuel records, registrations, insurance, and compliance documentation
- Coordinate transportation arrangements and monitor vehicle utilization and performance
- Develop and maintain professional relationships with government departments, regulatory authorities, and local administrative bodies
- Facilitate approvals, permits, licenses, and other official documentation as required
- Liaise with government offices for administrative and operational matters
- Supervise and manage security staff, ensuring proper deployment, attendance, discipline, and performance monitoring
- Ensure implementation of security protocols, safety measures, and access control procedures
- Coordinate with security service providers and address site security concerns promptly
- Manage office maintenance, housekeeping, and facility management activities
- Monitor inventory of office supplies and ensure timely procurement
- Handle vendor coordination, service agreements, and administrative contracts
- Maintain records related to assets, vehicles, security, and administrative operations
- Prepare administrative reports and provide regular updates to management
- Support company events, meetings, and other administrative arrangements
Required Skills & Knowledge
- Strong knowledge of administration, facility management, and office operations
- Experience in vehicle fleet management and transportation coordination
- Understanding of government procedures, regulatory requirements, and official correspondence
- Experience in managing security operations and security personnel
- Proficiency in MS Office, particularly Excel, Word, and PowerPoint
- Strong documentation, reporting, and record-keeping skills
- Excellent communication, coordination, and stakeholder management abilities
- Ability to manage multiple priorities and work under pressure
Qualification
- Bachelor's degree in Business Administration, Management, Public Administration, or a related field
Experience
- 1–2 years of relevant experience in Administration, Facility Management, or General Administration
- Experience in vehicle management, government liaison, and security management will be preferred
