We are looking for highly motivated and experienced Commercial Administrator to join our team.


The individuals will be responsible for (but not limited to):


Job Purpose: The Commercial Department Administrator plays a vital role in supporting the efficient functioning of the commercial division within construction projects. They are responsible for a range of administrative tasks essential for the smooth operation of the department and contribute to the commercial success of construction projects.


Key Responsibilities:

  • Document Management:

Maintain and organize project documentation, including contracts, agreements, financial securities, purchase orders, and change orders.

Ensure accuracy, completeness, and proper filing of all commercial records.

Assist in the preparation and distribution of project-related documents.


  • Financial Support:

Aid in the preparation of financial reports, including budget tracking, cost analysis, and expense reports.

Assist in the processing of invoices, purchase orders, and payments, ensuring adherence to project budgets and financial guidelines.

Collaborate with the finance department to maintain accurate financial records.


  • Contract Administration:

Support the creation, review, and execution of contracts and agreements.

Maintain contract databases and monitor compliance with contractual obligations and terms.

Assist in the coordination of contract changes and amendments.


  • Communication and Coordination:

Serve as a point of contact between the commercial department and other project stakeholders.

Facilitate communication and coordination among various teams, including procurement, legal, finance, and project management.


  • Compliance and Regulation:

Assist in ensuring compliance with company policies, and audit/legal requirements.


  • Support to Commercial Team:

Provide administrative support to commercial managers and team members.

Assist in scheduling meetings, preparing presentations, and organizing departmental events.


Qualifications:

  • Bachelor's or master's degree in business administration or a related field.
  • Strong organizational and administrative skills, including document management, scheduling, and record-keeping.
  • Understanding of financial principles, budget tracking, and invoice processing.
  • Excellent written and verbal communication skills for internal and external coordination.
  • High accuracy in handling documentation, contracts, and financial records.
  • Ability to collaborate with cross-functional teams and support multiple stakeholders.
  • Flexibility to manage multiple tasks and changing priorities in a dynamic construction environment.
  • Proficient in Microsoft Office Suite and familiarity with project management software.
