Administration Assistant

Job Summary

The Admin Assistant – Civil Site is responsible for managing day-to-day administrative operations at the construction site. The role ensures smooth coordination between site teams, head office, vendors, and subcontractors while maintaining accurate documentation and compliance with company policies.

Key Responsibilities

1. Site Administration

  • Maintain and organize site office operations.
  • Handle incoming and outgoing correspondence (emails, letters, courier).
  • Maintain filing systems (hard copy & digital) for all project documents.
  • Support Site Manager with administrative tasks.

2. Documentation & Record Keeping

  • Maintain daily attendance records of staff and labor.
  • Prepare and update site reports (daily, weekly, monthly).
  • Maintain inward/outward material records and delivery challans.
  • Keep updated records of invoices, bills, and payment follow-ups.
  • Maintain contract documents, drawings, BOQs, and approvals.

3. Coordination & Communication

  • Coordinate between site engineers, contractors, vendors, and head office.
  • Schedule meetings and prepare MOM (Minutes of Meeting).
  • Assist in procurement documentation and vendor communications.
  • Handle telephone calls and visitor management at site.

4. HR & Payroll Support

  • Maintain employee records and labor data.
  • Assist in wage sheet preparation and timesheet verification.
  • Coordinate joining formalities for new site staff.
  • Monitor leave records and overtime details.

5. Inventory & Store Support

  • Maintain stock register and material issue records.
  • Coordinate with storekeeper for material tracking.
  • Monitor office supplies and raise purchase requisitions.

6. Compliance & Reporting

  • Ensure proper documentation as per company and statutory requirements.
  • Assist in audit documentation and compliance checks.
  • Maintain safety-related documentation and registers.

Required Qualifications

  • Bachelor’s Degree / Diploma in Business Administration or related field.
  • 7–10 years of experience in construction or civil site administration.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Knowledge of basic accounting and documentation processes.

Skills & Competencies

  • Strong organizational and multitasking skills.
  • Good communication and coordination abilities.
  • Attention to detail and accuracy.
  • Ability to work independently at site.
  • Basic knowledge of construction terminology is preferred.
