Administration Assistant

Atlantic Legal Strategy PSC is hiring a legal Administrative Assistant to support the running the day-to-day operations of a fast-moving legal operations, strategy firm.

You will be the person keeping things organized, moving, and on track, managing documents, tracking deadlines, coordinating with vendors, and making sure nothing falls through the cracks across multiple clients, entities, and projects.

The ideal candidate is someone who takes direction well, executes with precision, and handles sensitive information with professionalism and discretion. You are organized, reliable, and proactive.

Responsibilities

  • Prepare professional correspondence and maintain organized case files across multiple matters
  • Assist with billing and expense tracking
  • Support the Head of Administration with day-to-day operational and administrative workflows
  • Coordinate office operations, including follow-ups and scheduling
  • Create, format, edit, and convert documents and reports across formats (Word, PDF, presentations)
  • Maintain organized digital filing systems with consistent naming conventions and version control
  • Conduct research on vendors, tools, and services; compile and summarize findings for decision-making
  • Assist with payment follow-ups and record organization
  • Prepare reports and summaries as directed
  • Track project timelines, deadlines, and task completion across active initiatives
  • Maintain accurate records of communications and interactions
  • Provide administrative support for special projects and urgent requests as they arise

Qualifications

  • 2+ years of experience in an administrative support role; legal or professional services environment preferred
  • Strong written and verbal communication in English; bilingual English/Spanish strongly preferred
  • Solid proficiency with Microsoft 365, Google Workspace, and document management tools
  • Sharp attention to detail and the ability to manage multiple priorities without dropping the ball
  • High degree of professionalism and discretion as you will regularly handle sensitive legal and business matters
  • Reliable, self-directed, and proactive - you identify what needs to be done and follow through

What We Offer

Compensation:
Base Salary: $35,000 annually
Performance Bonus: Ups to 25% of base salary ($8,750), tied to individual and firm KPIs
Total Potential Compensation: Up to $43,750 annually
