POSITION SUMMARY
The Assistant to the Directors provides administrative and operational support to the studio’s three directors across departments including Design, Operations, and Business Development. This is an entry-level, hybrid role best suited to someone who is highly organized, takes initiative, communicates clearly, and thrives in a fast-paced, detail-driven environment. The right candidate will be a dependable, service-oriented professional who takes pride in keeping things running smoothly behind the scenes.
REPORTING STRUCTURE
Day-to-Day Direction:
Receives direction from the Director of Client Experience & Strategic Growth and the Director of Operations & Culture depending on daily priorities.
Broader Accountability:
Supports the Principal as needed and may receive occasional direction directly from her on studio or client-related priorities.
KEY RESPONSIBILITIES
Director & Schedule Support
- Manage and coordinate calendars for the directors, including scheduling meetings, calls, and client appointments
- Monitor and triage director inboxes as directed; flag priorities, draft responses, and ensure nothing falls through the cracks
- Prepare daily or weekly priority summaries for each director to support focus and follow-through
- Track open tasks and follow-up items in Asana; flag items at risk of missing deadlines
- Assist with preparing agendas and materials for internal meetings
Client Meeting Preparation
- Set up and prepare the studio ahead of client meetings, including arranging sample trays, materials, and hospitality
- Ensure the studio is tidy, stocked, and presented to a professional standard at all times
- Assist with printing, binding, or assembling presentation materials as directed
- Support client-facing logistics including greeting clients and managing arrival timing
Errands & Logistics
- Run studio errands as needed, including supply runs, sample pick-ups and returns, and vendor drop-offs
- Receive and process incoming mail and packages; notify the appropriate team member upon arrival
- Assist with sample library organization, including filing, labeling, and returning memo samples to vendors
Studio Operations Support
- Maintain office supplies and place orders when inventory is low
- Assist with filing, document organization, and maintaining studio systems
- Assist with ad hoc operational and administrative tasks across departments as needed
QUALIFICATIONS
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 1–2 years of administrative, office, or operations experience preferred
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Proficiency with Google Workspace (Gmail, Calendar, Drive) and comfort learning new tools
- Familiarity with project management tools such as Asana a plus
- Reliable, punctual, and proactive; able to anticipate needs and work with minimal supervision
- Comfortable running errands and moving between studio and off-site locations
- Professional presentation and demeanor; represents the studio well in all settings
IMPORTANT NOTE
Whilst an interest in design is appreciated this is an operations role, there is no pathway from this position into a design role.
Pay: $22.00 - $25.00 per hour
