Admin Assistant
- Answer phones and direct the call to the appropriate extension/voice mail.
- Order Certificates of Insurance as needed.
- Maintain Purchase Orders - orders must be entered by the individual filling out the P.O.
- Maintain office supplies so as to avoid running out of any one particular item.
- Make travel reservations as needed, i.e. hotel, rental car, etc.
- Maintain postage and UPS supplies
- Receive and open mail - checks shall be placed in a locked drawer.
- Maintain and update Job List.
- Perform scanning of documents and filing for Job files.
- OSHA 300 logs
- Open invoices/monthly statements and match with correct Purchase Orders. Forward invoice and P.O. to be reviewed by the purchasing individual.
- Work with vendor to correct billing inaccuracies.
- Keep track of subcontractor insurance certificates.
