Position Summary

The Administration Manager is responsible for leading administration, facilities, procurement, security, transport, asset management, and support services to ensure efficient organizational operations.

Detailed Responsibilities

Administration & Office Operations

  • Manage day-to-day administrative functions.
  • Develop SOPs and administrative controls.
  • Ensure smooth office operations across locations.

Facility Management

  • Manage office infrastructure, utilities, maintenance, and housekeeping.
  • Conduct preventive maintenance and facility inspections.

Security Management

  • Oversee security staff and access controls.
  • Investigate incidents and implement corrective measures.

Fleet & Transport

  • Manage vehicles, fuel, maintenance, and drivers.
  • Monitor transportation costs and efficiency.

Procurement & Inventory

  • Procure office supplies, equipment, and services.
  • Maintain inventory records and asset registers.

Vendor Management

  • Negotiate contracts and monitor vendor performance.
  • Ensure SLA compliance and service quality.

Budgeting & Cost Control

  • Prepare annual budgets and track expenditures.
  • Identify cost-saving opportunities.

Compliance & Risk

  • Ensure compliance with company policies and regulations.
  • Support audits and maintain licenses and permits.

Team Leadership

  • Manage administration, support, transport, and security teams.
  • Conduct performance reviews and training.

Qualifications

  • Bachelor's degree in Business Administration or related field.
  • MBA preferred.

Experience

  • 7–10 years of relevant experience.
  • 3–5 years in a managerial role.
  • Experience with large workforce environments preferred.

Preferred Profile

  • Age 30–45 years.
  • Strong leadership and operational management skills.
  • Retired Armed Forces personnel highly preferred.
