About the Role


Bilkom is seeking a dynamic and experienced Administrative Affairs Executive to manage and enhance the operational efficiency of our administrative processes. This role requires a highly skilled individual with strong communication, coordination, and problem-solving abilities. What are we looking for?


  • Bachelor’s degree from a reputable university.
  • Minimum of 5 years of experience in administrative affairs or facilities management.
  • Strong communication, coordination, and problem-solving skills.
  • Analytical mindset with the ability to identify challenges and implement solutions.
  • Goal- and results-oriented, able to work effectively under pressure.
  • Open to innovation and continuous development.
  • Proficient in MS Office applications (Word, Excel, PowerPoint).
  • Proficiency in English (both written and spoken).


What will you do?


Administrative Affairs Strategy: Implement the vision and strategies of Administrative Affairs from an employee experience perspective, ensuring alignment with company goals and standards.

Cross-Departmental Collaboration: Develop and implement strategic solutions to enhance cooperation and collaboration between departments, contributing to the overall efficiency of the organization.

Facility Management: Oversee building management services including security, cleaning, transportation, and maintenance to ensure all services are running smoothly and effectively within a structured framework.

Vendor Management: Manage external contractors and service providers, particularly in security, cleaning, and technical services. Monitor service quality, control attendance records (e.g., timesheets), and approve relevant documents.

Technical Services Management: Ensure that all systems and equipment within the building are operational and well-maintained, implementing necessary preventive measures.

Compliance and Safety: Support the establishment and monitoring of company quality standards related to areas such as KVKK (Personal Data Protection Law), Information Security, Occupational Health and Safety (OHS), and Environmental Management. Ensure adherence to company policies and procedures, and drive continuous improvement efforts.

Employee Education and Awareness: Educate employees on company quality standards and systems (e.g., OHS, Environmental Safety), ensuring adherence to safety protocols and regulations.

Reporting and Incident Management: Report incidents such as accidents or violations to senior management or relevant authorities according to established protocols.

Budget Management: Assist in the creation and management of the administrative affairs budget. Monitor expenditures, propose corrective actions when necessary, and ensure cost control.

Project Management: Manage building-related projects ensuring they are completed on time, within scope, and to the satisfaction of relevant stakeholders.

Proficient in procurement management processes.

Experienced in the management of t echnical services (electrical & mechanical)
