Augustyn Construction Corporation Now Hiring: Administrative Executive Assistant

Are you a highly organized and proactive individual with a passion for supporting executives and ensuring smooth office operations? We are seeking an experienced Administrative Executive Assistant who is fluent in Polish to join our company and assist in managing day-to-day administrative functions.

Key Responsibilities:

  • Provide high-level administrative support to CEO
  • Manage executive calendars, CRM, schedule meetings, and coordinate appointments
  • Draft and edit emails, memos, and correspondence in both English and Polish
  • Prepare reports, presentations, and other documents as needed
  • Handle confidential information with discretion
  • Organize travel arrangements and coordinate logistics for business trips
  • Assist in managing office supplies and vendors
  • Coordinate internal and external communications to ensure smooth operations

Qualifications:

  • Proven experience as an executive assistant or in a similar administrative role
  • Fluency in both Polish and English (spoken and written) is required
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks and manage time effectively
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to work independently with minimal supervision
  • Discretion and confidentiality in handling sensitive information
  • Positive, proactive, and adaptable attitude

Responsibilities

  • Answer and direct phone calls
  • Manage multiple email accounts
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Submit and reconcile expense reports
  • Provide general support to CEO
  • Act as the point of contact for internal and external clients

Skills

  • PROVEN EXPERIENCE as an administrative assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative assistant or Secretary will be a plus

Job Types: Full-time, Contract

Pay: $38,000.00 - $60,000.00 per year
