Job Overview

NCC Life is seeking a dedicated and highly organised Administrative Assistant to join our team. This is a full-time position based in Philadelphia, Pennsylvania, United States, offering a competitive hourly rate of $25 - $35 USD. While our organisation has a rich history of serving the Memphis community through our pillars of Compassionate Ministries, Youth Empowered to Succeed (YES), and Adult and Family Enrichment Services, we are excited to expand our impact. The successful candidate will play a vital role in supporting our daily operations and contributing to our ultimate goal of moving clients from reliance to stability and, ultimately, sustainability.

Responsibilities

As an Administrative Assistant, you will be the backbone of our office, ensuring smooth and efficient operations. Your main duties will include:

 

  • Providing comprehensive administrative support to our team and management.
  • Managing schedules, organising meetings, and coordinating appointments.
  • Handling incoming calls, emails, and other correspondence in a professional and timely manner.
  • Maintaining and organising physical and digital files, ensuring information is accurate and easily accessible.
  • Preparing reports, presentations, and other important documents.
  • Assisting with the coordination of company events and community outreach activities.
  • Monitoring office supply levels and placing orders when necessary.
  • Acting as a point of contact for internal and external stakeholders.

Qualifications

The ideal candidate will be a proactive problem-solver with exceptional communication skills and a meticulous attention to detail. Key qualifications include:

 

  • Proven experience as an administrative assistant, virtual assistant, or in a similar office support role.
  • Excellent organisational and time-management skills, with the ability to prioritise tasks effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong written and verbal communication skills.
  • The ability to handle sensitive information with the utmost discretion and confidentiality.
  • A positive attitude and a commitment to supporting the mission of NCC Life.
  • Experience working within a non-profit or community-based organisation is desirable but not essential.
