Position: Administrative Support

Pay: $16 per hour

Hours: Part-time (Monday to Friday), starting at 5-10 hours per week with the opportunity for growth

Hybrid or Virtual Role: Flexible hours with occasional in-office visits if located near the center.

You’ll Report to: Jill Portaro, LCSW & Founder

What You’ll Do:

  • Respond to and follow up on all client calls to ensure excellent service.
  • Conduct intake procedures to warmly welcome clients into our practice.
  • Assist in scheduling appointments and managing client bookings efficiently.
  • Handle email correspondence and follow up with clients to address their needs.
  • Provide administrative support to therapists, ensuring a smooth and organized workflow.

Skills & Attributes of our Ideal Candidate

  • 2-3 years of experience in client care or customer service (medical office preferred).
  • Dynamic, self-motivated individual with the ability to work independently, proactively and well under pressure
  • Strong communication skills with a compassionate approach to client interactions.
  • An entrepreneurial mindset that helps you think ahead and see the big picture.
  • Confidence in sharing ideas and feedback to help us grow.
  • Ability to juggle multiple projects while meeting deadlines.
  • Tech-savviness—familiarity with Electronic Health Record (EHR) software (Jane App is a plus) and online tools.

This role is perfect for those with a background in psychology, marketing, social work, or counseling. It provides a great opportunity to grow and learn in a heart-centered environment.
