Administrative Support
- Manage schedules, meetings, travel arrangements, and calendar coordination for executives and team members.
- Prepare meeting agendas, take notes, and distribute minutes.
- Maintain organized digital and physical filing systems.
- Handle office communications: screen calls, respond to emails, route inquiries, and greet visitors.
- Support invoicing, expense reports, and vendor coordination.
- Order and manage office supplies and equipment.
- Assist with onboarding of new hires and maintain internal documentation.
Creative & Design Support
- Assist the design team with basic graphic design tasks (e.g., resizing images, creating mockups, editing templates).
- Prepare polished PowerPoint/keynote presentations for client meetings.
- Support social media and digital marketing efforts by creating simple content and scheduling posts.
- Update website or internal assets using design tools or CMS (if applicable).
- Help maintain the visual consistency of client-facing and internal materials.
Qualifications
- Education: Associate’s or Bachelor’s degree in Administration, Marketing, Graphic Design, Communications, or related field.
- Experience:
- 2+ years in an administrative role, preferably within a marketing, advertising, or creative agency.
- Proven experience or formal training in graphic design or visual content creation.
Skills & Competencies
- Excellent organizational and time management skills.
- Strong written and verbal communication.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and Google Workspace.
- Comfortable using Adobe Creative Suite (especially Photoshop, Illustrator, InDesign, or XD) or Canva.
- Familiarity with social media platforms and content scheduling tools (e.g., Buffer, Hootsuite).
- Ability to handle multiple tasks and deadlines efficiently.
- High attention to detail and a proactive problem-solver.
- Team player with a creative mindset.
