Are you a highly organized professional with a talent for managing details and supporting cross-functional teams? We’re looking for an Administrative Assistant to provide critical support to our Risk Management team primarily, with support also provided to Marketplace, Credit, Finance, and other business functions as needed.

This role is ideal for someone who thrives in a fast-paced environment, enjoys variety in their work, and takes pride in producing accurate, high-quality results. In this role, you’ll provide key administrative support to the Risk Management team, including maintaining the procedures manual, assisting in preparing risk reports, supporting meetings by coordinating agendas and materials, and drafting professional customer correspondence. Additionally, the role involves requesting and tracking customer information, monitoring customer records for updates, and providing administrative support to the Special Assets and Audit teams.

What You Need:
  • Education: An Associate’s degree in business, administrative support, or related field, or an equivalent combination of education and experience.
  • Experience: Proven experience in administrative support role preferably in finance or risk related areas. Proficiency in Microsoft Office Suite.
  • Skills: Strong communication skills for effective interactions with internal and external customers, strong attention to detail, and ability to manage sensitive information and ability to prioritize work.

Communication and Reporting
  • Produces reports on a daily, weekly, monthly, quarterly, semi-annual, and yearly basis
  • Serves as point of contact for internal and external inquiries
  • Gathers report requirements from requestor
  • Determines location of data needed, including external data sources
  • Designs reports to best represent the data
  • Performs data entry and reviews reports for accuracy
  • Distributes reports to requestor and/or posts on the intranet
  • Prepares and disseminates material and presentations or visual aids for meetings
  • Handles confidential information with discretion

Central Office Administrative Support
  • Serves in the Administrative Assistant Call Group to answer main phone line, greet visitors, and receive and distribute mail and courier deliveries
  • Supports meeting functions and team activities and office celebrations by scheduling meeting space and room setup, and coordinates meal/refreshment service
  • Monitors Central Office Request emails – arranges travel accommodations including transportation and lodging, distributes and reconciles disbursement check and gift card requests

Marketplace and Marketing Support
  • Works with Marketing on maintaining and distributing marketing materials and business cards and mass mailing and communications
  • Processes marketing budget
  • Create scatter maps, update dashboards, compile survey data, and build slides for marketing team as requested
  • Assists with Scholarship info received and distributes information
  • Compiles and updates Marketplace reports for performance tracking, updates incentive worksheets, and administers Complete Bank Data.
  • Code Territorial Concurrence and provide support on these requests as needed
  • Update Marketplace service maps

Risk Management Support
  • Maintains CROPS procedure manual
  • Prepares and tracks Distressed Loan Notices
  • Prepares annual financial request letters, prepares release documents, monitors real estate taxes and insurance, and provides other support to the Resource Team as needed
  • Tracks corrective actions and provides assistance in coordination of external reviews for Audit Team.

Executive Assistant Support
  • Coordinates and distributes meeting material for the Board of Directors
  • Prepares agendas, records and transcribes meeting minutes, and maintains corporate records
  • Prepares board meeting and committee meeting materials as requested
  • Provides backup support for annual stockholder meetings and election process

Fleet Management
  • Requests and reviews vehicle bids from Compeer Financial
  • Coordinates the auction of older vehicles; reviews and approves minimum acceptable bids
Determines repair needs for central office pool vehicles and approves repairs

Minimum Qualifications

  • Associate’s degree in business, administrative support or related field
  • 1 year of experience in an office environment in a support or technical position
  • Or an equivalent combination of education and experience sufficient to perform the essential functions of the job
Required Knowledge and Skills
  • Strong technical aptitude and computer utilization skills including MS Office applications (Excel, Word, PowerPoint, Outlook), SharePoint, and other systems as needed
  • Working knowledge of database software and reporting tools
  • Skill in applying processes and procedures to data to come to make a logical decision
  • Skill in gathering, compiling and organizing information
  • Skill in utilizing time in an efficient and effective manner
  • Skill in focusing and concentrating on details
  • Skill in establishing and maintaining cooperative working relationships with coworkers
  • Verbal and written communication skills, sufficient to exchange information effectively with peers and supervisor
  • Skill in performing a variety of duties
  • Skill in listening and conveying awareness of a customer's problem or issue to find resolution
  • Responsible to appropriately protect the confidentiality, security, and integrity of the Association’s systems and data and clients’ data
