The Cape and Islands District Attorney's Office serves all of the people of the Cape and Islands with offices in Barnstable, Orleans, Falmouth, Edgartown and Nantucket.
We are seeking a full-time Administrative Assistant to work Monday through Friday 8:30am-4:30pm in Barnstable. This is an in-person position and prior administrative experience is preferred.
The Administrative Assistant will provide support to assigned department staff. They will be responsible for a variety of tasks, including answering phones, filing documents, data entry and providing general office support while prioritizing teamwork and flexibility. The ideal candidate will have excellent organizational skills, the ability to multitask and a commitment to providing excellent customer service.
Responsibilities:
- Greet and check in visitors, answer questions and provide support in reception and/or direct them to the appropriate staff member.
- Maintain an organized, tidy office environment.
- Execute daily case file prep for Assistant District Attorneys and/or other assigned department staff.
- Enter, generate and send summons requests, letters, notifications etc. for assigned department staff. Share with law enforcement as needed.
- Provide occasional oversight and planning of task distribution for administrative interns.
- Answer phone calls and emails in a timely manner, assisting the public, police and/or court staff with general inquiries and/or directing them to the appropriate staff member.
- Receive and distribute incoming mail daily. Process outgoing mail as needed.
- Organize and maintain regular filing systems, scanning documents as requested.
- Maintain office supplies and equipment for assigned department office staff, coordinating with fiscal department to process orders as needed.
- Perform regular data entry tasks in office database system, reviewing intake notes, updating case information and processing case openings and closures.
- Provide general administrative support to assigned department office staff.
- Assist Assistant District Attorneys with police reports, medical records and other discovery requests.
- Support evidence sharing and tracking in Axon system.
- Provide coverage for other office administrative staff as needed.
- Other duties as assigned.
Qualifications:
- One to two years of prior administrative experience preferred.
- Excellent verbal and written communication skills.
- Excellent teamwork and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently and be flexible.
- Must be able to manage prolonged periods of sitting/standing at a desk and working at a computer. Will occasionally be required to stand and stoop, kneel, or crouch, and must frequently lift and/or move up to 10 pounds and occasionally life and/or move up to 25 pounds.
