Administrative Assistant – Ras Ghareb Site (Chinese Language Required)

Our Egypt operations are expanding, and we are seeking a talented Administrative Assistant to support our Ras Ghareb site.

Position Overview

The Administrative Assistant will play a key role in ensuring smooth day-to-day office operations and site coordination. This role requires a proactive, organized, and detail-oriented professional capable of handling administrative tasks, supporting employees, maintaining documentation, and facilitating communication across departments and international teams. The position requires fluency in English and Chinese due to continuous interaction with regional teams and documentation requirements.

Key Responsibilities

Administrative & Office Management

  • Oversee daily office operations to ensure an efficient working environment.
  • Prepare, review, and format reports, presentations, and internal documents.
  • Manage office inventory, supplies, vendor coordination, and facility maintenance.
  • Handle incoming/outgoing correspondence and maintain filing systems.

Project Coordination & Documentation

  • Manage permits, licenses, and regulatory records for site, vehicles, and employees.
  • Support project planning, scheduling, and progress tracking.
  • Maintain accurate project documentation and ensure timely submissions.
  • Coordinate meetings, prepare minutes, and follow up on action items.

Employee Support (Local & Expatriates)

  • Maintain daily attendance records and support HR-related site activities.
  • Coordinate company events, trainings, and employee engagement activities.
  • Assist with site access permits and ensure alignment with local regulatory requirements.
  • Manage visas, work permits, residency renewals, and travel arrangements for international staff.

Procurement & Fleet Management

  • Prepare and process purchase requisitions (PRs) and purchase orders (POs).
  • Track procurement status and liaise with suppliers for quotations and delivery timelines.
  • Manage fleet logistics including scheduling vehicle maintenance, service records, and fuel tracking.
  • Ensure proper documentation for all fleet and asset activities.

Communication & Translation

  • Act as a communication bridge between site teams, regional departments, and headquarters.
  • Provide translation support for documents, meetings, contracts, and internal communication.
  • Ensure smooth and timely information flow across all stakeholders.

Qualifications & Requirements

  • Chinese language proficiency is mandatory (spoken and written).
  • Strong proficiency in English.
  • Bachelor’s degree in Business Administration, Management, or related field preferred.
  • Minimum 1–3 years of administrative or coordination experience.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Professional communication skills and ability to work with multinational teams.
  • Proficiency in MS Office (Excel, Word, PowerPoint).
