Job Summary:


The Administrative Assistant is a practical position responsible for carrying out human resources operations and activities, and providing administrative and operational support to the human resources department through performing daily tasks related to organizing files, entering data, tracking appointments, and preparing documents. The role contributes to improving workflow efficiency and enhancing the quality of services provided to employees, within a work environment that respects and adapts to the employee's capabilities, and is suitable for persons with disabilities.


Responsibilities are not limited to:


  • Organizing paper and electronic documents and files and storing them according to the approved archiving system.
  • Receiving correspondence and forwarding it to the relevant departments within the administration.
  • Monitoring the administration's email and classifying messages according to priority
  • Entering employee data into approved systems (such as attendance, leave, employment information).
  • Assisting in preparing basic HR letters (introduction letters – attendance certificates – notifications).
  • Monitoring updates to the employee database in coordination with HR specialists.
  • Organizing the management's meeting schedules.
  • Preparing simple meeting minutes and distributing them to the concerned parties.
  • Following up on the implementation of administrative procedures required from various departments.
  • Receiving simple inquiries from employees and forwarding them to the specialists.
  • Providing support during company events and HR programs.
  • Assisting in preparing recruitment files.
  • Perform any other tasks assigned to him by the line manager within the scope of work.


Qualifications:


  • Bachelor's degree or a 3-year diploma in Administrative Sciences or a similar field.
  • At least 1 year of experience in the field.
  • Knowledge of Excel and Word.
  • Experience in preparing and presenting reports.
  • Ability to handle multiple tasks.
  • teamwork.
