Administrative Assistant

Job Overview:

We are seeking a proactive and highly organized Administrative Assistant to provide comprehensive administrative, executive, and personal support in a fast-paced work environment. The ideal candidate will be detail-oriented, creative, and tech-savvy, with strong multitasking abilities and excellent time-management skills. This role requires a high level of professionalism, confidentiality, and the ability to anticipate needs while ensuring smooth day-to-day operations.

Key Responsibilities:

  • Assist in planning, coordinating, and executing corporate events, training programs, conferences, and VIP engagements
  • Handle event-related administrative tasks including schedules, checklists, proposals, and documentation
  • Coordinate with vendors, venues, suppliers, and service providers to ensure timely delivery of event requirements
  • Support guest management including invitations, confirmations, registrations, and attendee databases
  • Prepare event materials such as agendas, badges, certificates, presentations, and welcome kits
  • Manage event calendars, timelines, and follow-ups to ensure smooth execution
  • Assist with travel arrangements, accommodation bookings, and logistics for speakers, VIPs, and delegates
  • Monitor event budgets, track expenses, and assist with quotations, invoices, and payment follow-ups
  • Support on-site event coordination, registration desks, and protocol arrangements when required
  • Handle post-event activities including feedback collection, reporting, documentation, and thank-you communications

Requirements:

  • Bachelor’s degree
  • Strong English skills: Arabic is a plus
  • Minimum of 2 years of experience as an Administrative Assistant in the events industry.
  • Strong communication, time management, negotiation, and attention to detail
  • Ability to adapt to a fast-paced work environment and flexible working hours
  • Leadership skills & creativity in problem-solving and task execution

Education:

Bachelor's (Preferred)

Experience:

  • Microsoft Office: 5 years (Preferred)
  • Social Media: 2 years (Preferred)
  • Administrative Assistant: 2 years (Preferred)
