Job Summary
We are seeking a detail-oriented and organized Administrative Assistant to support our office operations. The ideal candidate will be responsible for managing various administrative tasks, providing exceptional customer service, and ensuring smooth daily functions within the office environment. This role requires strong computer skills, proficiency in office software, and the ability to handle multiple responsibilities efficiently.
Duties
- Perform data entry and maintain accurate records using Microsoft Office and Google Workspace
- Manage multi-line phone systems, answer inquiries, and direct calls professionally
- Handle front desk responsibilities, including greeting visitors and managing appointments
- Organize and file documents both physically and electronically, ensuring easy retrieval
- Assist with bookkeeping tasks using QuickBooks and perform basic financial data entry
- Support customer service efforts by addressing client questions and providing support as needed
- Proofread correspondence, reports, and other documents for accuracy and clarity
- Coordinate scheduling and calendar management for staff and executives
- Support medical or dental office operations if applicable, including patient check-in and appointment scheduling
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with attention to detail in filing, data entry, and document management
- Excellent communication skills with professional phone etiquette for multi-line phone systems
- Ability to multitask effectively in a fast-paced environment while maintaining accuracy
- Clerical experience including front desk duties, customer service, and administrative support
- Typing speed with high accuracy; capable of proofreading documents thoroughly
- Knowledge of office equipment such as printers and fax machines
- Customer support skills with a friendly demeanor and problem-solving abilities
