Job Summary
The Administrative Assistant II provides administrative and operational support to The Development Group (TDG) Cost Accounting Team. This role supports consultant timekeeping processes, budget documentation, contract budget tracking, and expenditure reporting while maintaining organized electronic records in shared systems. The position also assists with onboarding and training users on the Timekeeping application and provides general administrative support to the team.
Key Responsibilities
- Provide administrative, clerical, and data support to supervisors and team members following established procedures
- Assist with consultant timekeeping services and support Timekeeping application users
- Prepare, route, and track budget memos and requests
- Update and maintain charge code lists, contract budget authorizations, and monthly expenditure data
- Maintain and organize electronic files and shared documentation systems
- Gather, compile, and summarize data for internal reports
- Scan, distribute, and archive documents and reports as needed
- Create or update reports using spreadsheets, graphs, or written summaries
- Verify data accuracy, including reviewing invoices against records when required
- Prepare routine correspondence and maintain general files
- Answer phones, screen and direct calls, and relay messages
- Receive, sort, and distribute incoming mail
- Maintain an organized workspace and administrative systems
- Support team collaboration and assist with additional administrative duties as needed

Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Strong data entry and keyboarding skills
- Experience working with MS Windows and office productivity tools
- Experience with Prolog or similar project management systems preferred
Education & Experience
- High school diploma or equivalent required
- 5+ years of administrative or office support experience
Pay: $70,000.00 - $90,000.00 per year
