Administrative Assistant

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading
  • Support office management tasks such as calendar management, scheduling appointments, and coordinating meetings
  • Utilize computer skills across Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and QuickBooks for bookkeeping and record-keeping
  • Assist with customer service by providing support via phone or email, addressing inquiries with professionalism and clarity
  • Perform clerical duties such as copying, scanning, faxing, and managing incoming/outgoing correspondence

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite, Google Workspace, and data entry tools
  • Experience with office management tasks such as calendar management and filing systems
  • Excellent phone etiquette skills with experience handling multi-line phone systems
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Prior experience as a receptionist—dental or medical—is a plus—familiarity with appointment scheduling is beneficial
  • Strong typing skills along with proofreading capabilities to ensure accuracy in all documentation
  • Customer service experience demonstrating professionalism and patience in communication
  • Knowledge of bookkeeping software such as QuickBooks is advantageous for financial recordkeeping
  • Ability to prioritize tasks efficiently using time management techniques in a fast-paced environment
