Part-Time In Office | 4 Days/Week (Monday–Thursday, 8:30am–2:30pm)

About Us

We are a growing Registered Investment Advisory (RIA) firm providing comprehensive financial planning and investment management services to individuals and families. Our team of four is collaborative, client-focused and detail-oriented. We are seeking a dependable, organized, and tech-savvy Administrative Assistant to help keep our operations running smoothly and ensure an excellent client experience.


Position Overview

This role is ideal for someone who thrives in a structured environment, enjoys keeping systems organized, and takes pride in supporting a professional team. You will be the first point of contact for clients and a key contributor to the firm’s day-to-day operations. This role may grow over time for the right candidate as the firm continues to expand.


Schedule & Compensation

  • Monday–Thursday, 8:30am–2:30pm (24 hours/week)
  • $25 per hour
  • PTO accrual
  • Potential retirement and health insurance benefits after 6-month period


Key Responsibilities

Client Support & Office Management

  • Greet clients and manage front desk responsibilities
  • Answer and route phone calls professionally
  • Handle incoming/outgoing mail
  • Monitor office inventory and place supply orders
  • Coordinate general office upkeep

CRM (Client Relationship Management) & Technology Support

  • Assist with CRM data entry and maintenance (Redtail)
  • Maintain accuracy of client records and workflows
  • Support updates within the firm’s tech stack

Bookkeeping & Administrative Operations

  • Assist with bookkeeping tasks
  • Manage receipt and expense tracking
  • Maintain organized financial and administrative records

Document & Digital File Management

  • Organize and maintain digital and physical files and ensure secure document management
  • Maintain digital inventory and update records as needed

Event Coordination

  • Assist in planning and coordinating client appreciation events, seminars, and team activities


Qualifications

  • Strong organizational skills and attention to detail
  • Professional communication skills (phone, email, in-person)
  • Proficiency with Microsoft Office and Adobe Acrobat; experience with CRM systems preferred
  • Comfort learning and managing multiple technology platforms
  • Bookkeeping experience is a plus
  • Ability to handle confidential information with discretion
  • Reliable, punctual, and self-directed
