Responsibilities
- Greets and assists residents, family and visitors
- Maintain documents, updates paperwork, and assists with employee record keeping
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Orientation for new employees
- Manages marketing and calendars for residents and staff
- Answers and directs phone calls and emails
- Organizes schedules and events
- Coordinate calendar management, scheduling appointments, meetings, and events efficiently
- Attends all required training, in-service, and staff meetings
- Support office management tasks such as supply ordering, inventory tracking, and maintaining office equipment
- Maintains a positive and professional demeanor toward residents, visitors, families, and co-workers
- Display an attitude of courtesy and respect for all residents, families, and staff
- Provide exceptional customer service by responding promptly to inquiries via phone or email
- Maintain confidentiality of sensitive information and adhere to company policies
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent typing speed and accuracy for data entry and document preparation
- Knowledge of office management procedures and clerical best practices
- Exceptional phone etiquette and customer support skills across multi-line phone systems
- Experience with QuickBooks or bookkeeping software is a plus
- Strong proofreading skills to ensure error-free documents
- Ability to handle multiple responsibilities simultaneously with effective time management
- Prior experience in administrative roles such as office assistant, receptionist, or personal assistant is desirable
- Familiarity with medical receptionist duties is an advantage
