Administrative Assistant

JOB SUMMARY
The Glenview Park District is seeking a highly organized and detail-oriented Administrative Assistant to support the Recreation Division at Park Center. This position plays a vital role in keeping daily operations running smoothly. In this fast-paced and collaborative environment, the Administrative Assistant will coordinate office operations, prepare reports and correspondence, assist with financial processes, and support recreation staff with special projects, events and programs. The ideal candidate is proactive, dependable, organized and efficient while delivering excellent customer service to staff and the community. Examples of job duties include:

  • Provide administrative support to recreation staff including preparing correspondence, reports, presentations, and other documents.
  • Maintain spreadsheets, logs, databases, and organized filing systems to support department operations and reporting.
  • Coordinate meetings, schedule rooms, assist with travel arrangements, and prepare materials for staff projects and initiatives.
  • Process purchase orders, invoices, and credit card statements while assisting with departmental financial tracking and operational expenses.
  • Provide front-line office support including answering phones, assisting with customer inquiries, and supporting general office operations.
  • Assist with departmental communications, surveys, reports, and administrative projects that support recreation programs and services.
  • Support administrative tasks related to recreation programs, rentals, and special events that serve the Glenview community.
  • Monitor office supplies and equipment and coordinate ordering or service, as needed, to maintain efficient operations.

QUALIFICATIONS

Education: Minimum of a High School Diploma required; some college coursework highly desirable; Experience: Three (3) or more years of relevant administrative experience preferred, particularly in supporting management or departmental operations; Licenses: Valid Illinois driver’s license required. Knowledge, Skills & Abilities: Strong organizational and communication skills; ability to manage multiple priorities in a fast-paced environment; proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); ability to learn software such as RecTrac and other operational software systems; ability to occasionally work evenings or weekends as needed.

SCHEDULING & PAY

This is a full-time, year-round position located at Park Center. Daily schedule will generally follow weekday office hours, with occasional evening or weekend hours required to support programs, projects, or special events. The anticipated hiring range for this position is $28.20/hour ($58,657) to $30.67/hour ($63,789) depending on qualifications. The full pay range is $58,657-$79,187.
