Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to support daily business operations. This role is 100% remote and requires a self-starter who can manage tasks independently, communicate professionally with clients, and maintain accurate records across multiple systems.

The ideal candidate will be proactive, tech-savvy, and capable of handling administrative workflows with minimal supervision while providing consistent daily updates on progress and priorities.

Key Responsibilities

  • Manage and organize documents within Google Drive, including downloading, uploading, naming, and filing documents accurately
  • Maintain and update Google Sheets with client data, task tracking, and workflow status
  • Monitor and manage Gmail inboxes, including organizing emails, drafting responses, and ensuring timely follow-up
  • Communicate with clients via phone, email, and text message in a professional and timely manner
  • Follow up with clients to collect required documents and information
  • Track all assigned tasks and maintain a clear workflow system
  • Provide daily status updates outlining:
  • Completed tasks
  • Pending tasks
  • Scheduled follow-ups (1 day, 7 day, 14 day, and 30 day intervals)
  • Assist with general administrative support, including file organization and process improvement
  • Identify inefficiencies and recommend improvements to administrative systems and workflows

Required Qualifications

  • Strong proficiency with Google Workspace, including:
  • Google Drive
  • Gmail
  • Google Sheets
  • Ability to download, organize, and upload documents accurately
  • Experience updating and managing spreadsheets
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and prioritize effectively
  • High level of attention to detail and organization
  • Self-motivated with the ability to work independently in a remote environment
  • Comfortable making outbound client calls and sending follow-ups

Technical Requirements

  • Personal computer with reliable internet connection
  • Personal cell phone for client communication (calls and text messaging)

Preferred Qualifications

  • Prior experience in administrative support, bookkeeping support, or client service roles
  • Experience working in a remote environment
  • Familiarity with task management systems (Notion, CRM systems, or similar tools)

Work Environment

  • 100% remote position
  • Flexible scheduling based on workload and deadlines

Job Types: Part-time, Temporary, Contract, Temp-to-hire

Pay: $12.00 - $15.00 per hour
