Administrative Assistant

Location: South San Francisco, CA (contract)


Position Summary:

We are seeking an experienced Administrative Assistant to provide high-level administrative and operational support to a fast-paced team in a start-up environment. This role is for someone who is comfortable being hands on, adaptable, and scrappy, thriving in an environment where priorities shift quickly, solutions are expected (not just identified), and efficiency is essential to keeping the business moving forward.


The ideal candidate brings seasoned judgment, strong organizational instincts, and the ability to think several steps ahead, understanding impact workflows, teams, and the overall rhythm of the office. They are proactive, resourceful, and willing to jump in wherever needed to support both leaders and the broader business as it grows. This person remains calm under pressure and has a proven track record of supporting teams in similarly fast-moving environments.


Beyond operational excellence, this role is also an essential contributor to our workplace culture. As a member, you will help foster an engaging, positive, and collaborative office environment, one that balances professionalism with energy and fun.


Key Responsibilities include but are not limited to:

  • Calendar & Scheduling: Manage and coordinate complex calendars, meetings, conference rooms; account for travel time, time zones, and logistical considerations
  • Accounting: Monitor and maintain the office and event budgets, and reconcile expenses
  • Office Logistics: Order supplies, upkeep and maintain order in the office, liaise with building management, manage weekly office lunch, plan, coordinate, and manage logistics for company meeting and events, update and maintain logs, assist with inbound/outbound deliveries, assist with onboarding new hires, and serve as the “go to” person for office support
  • General Support: Provide general administrative support to ensure smooth departmental operations. Serve as one of the primary point of contacts for internal and external communications
  • Proactive Support: Anticipate needs, prioritize conflicting requests, troubleshoot issues, manage workflows, handle sensitive information with discretion and sound judgement


Required Qualifications:

  • Problem-solving mindset and critical thinking skills, with ability to see the big picture
  • Ability to prioritize competing priorities independently and effectively
  • Possess the ability to work collaboratively and independently
  • Proactive and creative, with a no task is too big or too small mindset
  • Excellent communication skills, maintain calm, and unwavering professionalism. Comfortable communicating with all levels. Serve as a liaison between executives and stakeholders across the company
  • Exceptional attention to detail, organized, and a professional commitment to excellence
  • Proficient in Microsoft office and other project management tools
  • 3-5 years of experience in similar environment
  • Ability to work onsite at our South San Francisco office during scheduled hours
  • Ability to lift or pull 25 lbs


Preferred Qualifications:

  • Experience in a start-up environment


Duration: 12-month contract (with potential extension or conversion)


Pay Rate: $75,000-$80,000 ($30-40/hour)
