Main Responsibilities
Completes a variety of secretarial, clerical, administrative and other duties to support a team of professional legal staff handling corporate real estate and related legal matters. Such duties would include:

Process and route daily incoming mail appropriately, collaborating with others as needed. Prepare out-going mail and packages (overnight courier and certified USPS) daily.

Handle and process legal documents, including notarizing signatures and arranging for appropriate filing.

Prepare and send transmittal letters and other forms of routine correspondence.
-
Prepare memos, presentations, and materials in final form from rough drafts that may contain technical terminology.

Answer telephone calls, tactfully and professionally handle inquiries, and transfer to appropriate party.

Make travel arrangements and process related expense reports.

Schedule meetings, make meeting arrangements, and prepare related agendas and meeting materials.

Compile statistical data and format in reports for management review.

Prepare certificates, memos and various other real estate-related documents.

Provide a variety of support services to real estate senior counsel, real estate vice presidents, and outside counsel.

Gather necessary documentation to setup vendor information for payment through Oracle.

Coordinate and audit invoices from outside law firms and vendors for payment in Serengeti.

Other duties as assigned.
We Are Looking For Candidates Who Possess The Following
-
3 plus years’ experience as an Administrative Assistant
-
Current Idaho public notary certification
-
Work requires working knowledge of general office software and procedures.

Previous experience creating and formatting letters, envelopes, labels, memoranda and tables, and completing mail merge functions.

Ability to accurately key 50 words per minute.
-
May require math skills at level to complete one step calculations; i.e. addition, subtraction, multiplication, or division.

Computer skills: word processing in a Microsoft Word/Outlook 360 environment.
-
Familiarity and experience with real estate law is preferred.

Previous experience using spreadsheet software to format the spreadsheet, format columns, move and copy data, create charts and graphs, and create one step math formulas, preferred but not required.

Capability of using PowerPoint software to create presentations including the addition of graphics, sounds, and animation, importing data, and re-configuring graphics, preferred but not required.
