Administrative Assistant

Job Overview
We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions to provide administrative and special project support. The Administrative Assistant will perform specific functions and duties related to administrative, bookkeeping, data entry, operational support, safety and compliance, and human resources - including payroll functions. and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment where everyone can thrive. The ideal candidate is proactive, tech-savvy, bilingual , and possesses a passion for delivering outstanding customer service.

Specific Responsibilities

Assist with payroll functions and activities, including time and attendance review, payroll processing and enrolling employees into the company’s benefits programs including: 401K, health, dental and other supplemental insurance.

· Assist with human resources administration; including recruitment, HR onboarding documentation, staff orientation, personnel file maintenance and benefits administration.

· Oversee office inventory control, which includes ordering, receipt and distribution of supplies, business integrity, risk assessment, and quality assurance, i.e., safety and security systems, and maintenance and inspection of equipment.

· Perform data entry into company systems, and verify the information to ensure accuracy and accessibility.

· Answer phone calls and assist with new family registration & enrollment inquiries, and collection of tuition payments.

· Assist the CEO to ensure effective and efficient management of the center’s business affairs, including managing the flow of contract documents, reporting and compliances, re-licensing and other applications required by donors, etc.

SPECIFIC QUALIFICATIONS

· Must possess excellent quantitative and organizational skills, with a strong ability to pay close attention to detail.

· Three to four years of demonstrated work experience as an Administrative Assistant or Executive Assistant working in a high-volume nonprofit environment or child care center.

· A demonstrated ability to work in a fast-paced environment and the ability to meet concurrent deadlines and organize time and priorities appropriately.

· Experience working with accounting software systems.

· Effective written and verbal communication skills, with high-level proficiency in Microsoft Outlook, Word, Excel and PowerPoint.

· Ability to prioritize and coordinate projects and tasks efficiently.

· Spanish and English dual language proficiency desired but not required.

· Bachelor’s degree in business administration or in a relevant field desired.
