About the Opportunity
Kalamazoo Valley is seeking an Administrative Assistant for the Events, Hospitality and Operations department. The individual in this position supports student engagement, community partnerships, workforce programming and institutional initiatives.
Essential Job Functions
- Coordinate and participate in secretarial/clerical/office support activities in a department or administrative work unit with a variety of programs/administrative procedures.
- Interview and recommend hire, train, and distribute/evaluate work assignments.
- Develop, maintain and monitor department/office filing system/s; and, conduct research as required or directed and prepare materials for supervisor.
- Review/respond to inquiries in accordance with designated department and/or policies and procedures.
- Compose letters, memos and other written materials for supervisor’s use in committees, inquiries or meetings.
- Keep supervisor’s appointment calendar—determine priorities, length of appointment, and prepare materials accordingly.
- Prepare travel itineraries, process vouchers and make travel/lodging reservations.
- Examine, process, prepare for supervisor’s signature and/or may sign purchase requisitions, vouchers, parttime payroll records and similar documents.
- Assist with budget development/monitoring.
- Assist with or coordinate the creation, editing or processing of documents for purchasing, personnel, facilities, publications, syllabi, bulletins, promotional materials, contracts, annual/special reports, student records and faculty records.
- Assist departmental customers [e.g. students, faculty, staff] with concerns and inquiries.
Skills and Knowledge Required:
- Knowledge of basic mathematics and statistics.
- Knowledge of acceptable supervisory principles and practices.
- Knowledge of applicable institutional policies and procedures.
- Skill in organizing work for others.
- Skill in preparing, presenting, and reviewing oral and written information and reports.
- Skill in interpreting and applying policies and procedures.
- Skill in analyzing financial records and preparing reports.
- Skill in operation of PC/PC software.
Minimum Qualifications:
Appropriate education, training, experience, and talents are required. An example of this would be an Associate degree in office administration, office technology or a related field, and experience equivalent to three years of office management type work.

Physical DemandsThe work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Requires mental acuity including the ability to make rational decisions through sound logic and deductive processes, the ability to express ideas by means of the spoken word and have close visual acuity.
Work EnvironmentWork is performed in a relatively safe, and secure work environment.
Work Hours:
40 hours per week; Monday - Friday, 8:00 a.m. - 5:00 p.m.
