Responsibilities:
Are you someone who enjoys supporting a team, staying organized, and helping operations run smoothly? We are seeking an Administrative Assistant in Far Rockaway, Queens, NY to provide day-to-day administrative and operational support at our affordable multifamily community. In this role, you will support leasing, compliance, and resident services while serving as a welcoming point of contact for residents, applicants, vendors, and guests.
ESSENTIAL JOB FUNCTIONS:

Welcoming tenants and new applicants and guiding them through the application process.

Serve as a primary point of contact for residents, applicants, vendors, and visitors, creating a welcoming and professional office environment.

Support leasing and compliance activities by distributing application materials, assisting with interviews, and coordinating background and credit checks.

Assist with lease related tasks including preparing documents, supporting lease signings, and processing invoices and financial paperwork.

Organize and maintain applicant and resident files in both paper and electronic formats, ensuring documents are properly labeled, dated, and filed,
-
Track deadlines for certifications, renewals, and required notices, maintaining logs and notifying the team of upcoming items.

Support audit preparation including MORs and LIHTC file reviews by assembling file lists, pulling documentation, and confirming file order and completeness.

Assist with resident engagement activities including event sign-ups, room set up, refreshments, and post event clean-up.

Order office supplies and maintain the lobby and work areas in an organized and presentable condition

Provide general administrative support to the property team as assigned.

Available to work on-site, Monday-Friday 8:30AM - 5PM.
ANTICIPATED SALARY RANGE:

$24.00 - $25.00

This position is Non-Exempt, meaning eligible for overtime pay
This range is provided as a general guideline and reflects what we reasonably expect to pay for this role at the time of posting. Actual compensation may vary depending on a variety of factors, including the candidate’s qualifications, geographical location, and the specific responsibilities of the role. In addition to salary, this position may be eligible for performance bonuses and a comprehensive benefits package, including health insurance, retirement plans, and paid time off.
Final compensation offers will be determined following a thorough assessment of the candidate’s background and the requirements of the position.

Qualifications:
- 1+ year of administrative, customer service, or front desk experience.

Experience in multifamily property management or affordable housing experience a plus.

Proficiency with Microsoft Office (Word, Excel, Outlook) and comfort learning property systems.

A proactive, problem-solving mindset with a passion for creating great living experiences.

Strong customer service, verbal and written communication, and time-management skills.

Demonstrated ability to maintain confidentiality and navigate sensitive issues professionally.
