Administrative Assistant

The Development Associate reports to the Director of Advancement. Performing duties critical to the fundraising functions, the Development Associate will support the Development Team, act as a contact for donation stewardship, liaise with prospects/donors, manage donation intake and recordkeeping, support events run by the Development Team, perform administrative tasks, and support special projects as needed. The ideal candidate will be eager to take initiative on development-related projects, have prior experience with development or customer relations, excited to interact with students, and have a passion for college access.


Primary Responsibilities

● Manage gift entry and logging in a timely manner

● Lead the donation follow up, including sending receipts, acknowledgements, and thank

yous

● Ensure accurate entry in the database through a monthly reconciliation between the

finance team records and the donor database

● Act as a steward for our work through communications with prospects/donors

● Support event planning for Development Team events and oversee event execution in

collaboration with the Director of Advancement

● Conduct donor research

● Support donor and foundation site visits as needed

● Draft notes during donor meetings and board fundraising committee meetings

● Prepare development items for monthly board update and quarterly board packet

● Oversee the mailing list for the organization and assist with database maintenance

● Oversee the organization of the development team collateral, electronic filing of

documents, and management of departmental materials/supplies

● Assist the Development Team with donor communications related to stewardship, such

as donor letters and mailings

● Assist with fundraising event tasks as needed, such as assembling press kits, and event

set up/clean up

● Perform all other duties and tasks as assigned; “all-hands-on-deck” mindset

● Must have experience in development and/or customer relations

● Must have experience with Office Suite, GSuite and database systems

● Must have strong communications skills

● Must be able work in a flexible, fast-paced, collaborative remote work environment

● Must be able to hold sensitive information confidentially

● Must be able to perform all functions of this position within what would be deemed to be

reasonable accommodations

● Must be able to communicate effectively with a variety of personalities throughout the

organization

● Must be comfortable working in an anti-racist organization with a diverse group of

external callers and visitors and internal staff at all levels
