Administrative Assistant

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with friendly professionalism
  • Operate multi-line phone systems, handle incoming calls, and provide exceptional customer service with polished phone etiquette
  • Maintain organized filing systems, including digital records using Google Workspace and Microsoft Office tools
  • Perform data entry, proofread documents, and ensure accuracy in all clerical tasks such as filing and record keeping
  • Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently
  • Support office management activities including supply inventory, equipment maintenance, and general administrative support
  • Provide customer support via phone or email, addressing inquiries promptly and professionally

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Excellent communication skills in both English and bilingual capabilities (if applicable)
  • Experience with office management systems such as QuickBooks or bookkeeping is a plus
  • Knowledge of front desk operations, medical or dental receptionist duties is advantageous
  • Demonstrated clerical experience including data entry, proofreading, filing, and document management
  • Exceptional time management skills with the ability to multitask in a fast-paced environment
  • Familiarity with office equipment such as multi-line phones, printers, and scanners
  • Personal assistant experience or medical receptionist background is desirable but not required
