We are seeking a warm, organized, and adaptable Administrative Assistant to join our dedicated mental health practice. As the first point of contact for our clients, you will play a crucial role in creating a safe, welcoming, and supportive environment.
Key Responsibilities
Client Reception: Greet clients warmly, manage the check-in/check-out process, and ensure a calm, inviting waiting room atmosphere.
Scheduling & Communication: Manage appointment calendars, answer phone calls, respond to emails, and handle client inquiries with utmost confidentiality.
Pharmacy & Medication Support: Act as a liaison between our providers, clients, and pharmacies. Assist with prescription refill requests and communicate basic medication-related inquiries.
Insurance & Prior Authorizations: Complete and track insurance prior authorizations for medications and treatments to ensure clients receive uninterrupted care.
Administrative Support: Maintain accurate electronic health records (EHR), collect co-pays, process billing information, and manage daily office tasks.

Calm Under Pressure: This environment can occasionally become fast-paced or emotionally charged; we need someone who is not easily overwhelmed.
Strong Organizational Skills: Exceptional ability to manage files, schedules, and follow-up tasks efficiently.
Proficient Computer Skills: Comfortable learning new software, navigating Electronic Health Records (EHR) systems, and utilizing standard office programs (Word, Excel, email).
Highly Preferred Qualifications
Medical/Pharmacy Literacy: Previous experience with or a solid understanding of common medications and working directly with pharmacies.
Prior Authorization Experience: Familiarity with the insurance authorization process in a medical or mental health setting is a massive plus.
