Position Overview
Galvan Asset Management is seeking a detail-oriented and highly organized Administrative Assistant to support property management operations and financial administration. This role will play a critical function in maintaining accurate records in Yardi Breeze, supporting accounting workflows, and ensuring smooth day-to-day office operations.
The ideal candidate is reliable, systems-oriented, and comfortable working across property management, accounting, and general administrative functions.
Key Responsibilities
Property Management & Systems Administration
- Maintain and update tenant, lease, and property records in Yardi Breeze
- Assist with rent roll accuracy, lease documentation, and tenant data entry
- Support onboarding of new properties, units, and tenants into Yardi
- Generate routine and ad hoc reports from Yardi for management review
- Help troubleshoot basic system issues and coordinate with Yardi support as needed
Accounting & Financial Support
- Perform data entry related to rent payments, invoices, and expenses
- Assist with monthly ledger reconciliation across multiple properties and accounts
- Cross-check bank statements, Yardi reports, and accounting records for accuracy
- Support accounts payable and receivable processes
- Help maintain organized financial records for audit and compliance purposes
General Office Administration
- Provide day-to-day administrative support to the property management team
- Maintain organized digital and physical filing systems
- Assist with correspondence, scheduling, and document preparation
- Coordinate with vendors, tenants, and internal staff as needed
- Support special projects and operational initiatives as assigned
Qualifications
- 1–3 years of administrative, bookkeeping, or property management experience preferred
- Familiarity with Yardi Breeze or similar property management/accounting software strongly preferred
- Strong attention to detail and accuracy in data entry and financial records
- Proficiency in Microsoft Excel and general office software
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Strong organizational and communication skills
Preferred Attributes
- Experience working with multiple entities or property portfolios
- Basic understanding of accounting principles (reconciliation, ledgers, etc.)
- Comfort working in a mission-driven or nonprofit-affiliated organization
- Self-starter with a proactive and problem-solving mindset
Pay: $24.00 per hour
