Administrative Assistant

We are seeking an enthusiastic, hard working, dedicated person that we can add to our work family. Someone who knows what it takes to run a multi-line phone system and can assist/direct calls to the proper department. Someone who likes new challenges and is up to learning new things. Qualifications:

  • Computer Skills (Microsoft Office)
  • Must be available to work 35-40 hours per week, 5-6 days per week, including weekends and holidays(only during the months May - September).
  • Job Description:
  • Assist callers and refer them to the appropriate department. Take detailed messages for co-workers. Provide quality customer service and courtesy with every incoming and outgoing call. Complete task in a timely manner. Greet everyone walking in and out of the office with a smile. Check voicemail every morning and through out the day. Help every department with little projects (folding invoices, mail-outs, data entry, filing, etc.)

Knowledge and Skills:

  • Knowledge of computers and relevant software
  • Knowledge of customer service principles and practices
  • Knowledge of administrative procedures
  • Responsibilities:
  • Answer multiple lines telephone, screen and direct calls
  • Take and relay messages
  • Provide information to callers
  • Greet persons entering organization
  • Direct persons to correct destination
  • Deal with queries from the public and customers
  • Ensures knowledge of staff movements in and out of organization
  • General administrative and clerical support
  • Prepare letters and documents
  • Receive and sort mail and deliveries
  • Schedule appointments
  • Maintain appointment diary either manually or electronically
  • Organize meetings
  • Tidy and maintain the reception area
  • Prepare coffee for customers and office staff
  • Assisting day-by day efficient operation of the office
  • Recruiting and staffing logistics.
  • Performance management and improvement tracking
  • Employee orientation, development, and training logistics and record keeping
  • Assist with employee relations
  • Company wide committee facilitation and participation
  • Employee communication
  • Filing, folding invoices, mail-outs, data entry, etc.

Job Types: Full-time, Temporary

Pay: $12.00 per hour
