Overview
The Administrative Assistant to the Minister of Ministries & Media provides comprehensive administrative and organizational support to ensure the effective operation of the Executive Office. This position assists in coordinating communication, scheduling, record-keeping, and project tracking for the Minister of Ministries and Media. The Administrative Assistant serves as a key liaison between the Minister of Ministries and Media, staff, ministry leaders, and community partners. Advancing the mission, vision, and core values of The Church Without Walls.
Key Responsibilities
Executive Support
· Manage and maintain the Minister of Ministries & Media’s schedule, meetings, travel, and correspondence.
· Prepare, proofread, and distribute letters, reports, presentations, and other documents.
· Handle confidential information with the highest degree of integrity and discretion.
· Serve as the initial point of contact for internal and external inquiries directed to the Minister of Ministries and Media.
Operational & Ministry Coordination
· Support the implementation and documentation of strategic goals and initiatives.
· Coordinate interdepartmental communication to ensure timely follow-up on assigned projects.
· Maintain organized and up-to-date digital and physical filing systems for executive operations.
· Assist with administrative tasks related to staff onboarding, communications, and workflow tracking.
Financial & Administrative Support
· Process invoices, expense reimbursements, and purchasing requests under the direction of the Minister of Ministries and Media.
· Assist with budget preparation, expenditure tracking, and basic financial documentation.
Ministry & Administrative Support
· Supporting administrative processes that ensure operational readiness across administration, finance, HR, facilities, and ministry coordination.
· Providing administrative support for ministry development, budgeting, and calendaring initiatives.
· Maintaining records, reports, and follow-up documentation connected to strategic planning, ministry reviews, and key performance measures.
· Assisting with coordination between the Minister of Ministries and Media, ministry leaders, and Christian Education staff for continuing education, professional growth, and spiritual development initiatives.
· Coordinates meetings, retreats, and events for ministry staff focused on spiritual development, strategic goals, and annual planning.
· Helping facilitate communication and logistics related to annual strategic planning and the development of financial plans that align with church objectives.
Qualifications:
Associate or bachelor’s degree preferred, or equivalent administrative experience.
