Administrative Assistant

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
  • Operate multi-line phone systems, handle incoming calls, and provide excellent customer service support.
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
  • Schedule appointments, coordinate calendar management, and organize meetings efficiently.
  • Assist with bookkeeping tasks using QuickBooks and support basic office bookkeeping processes.
  • Support clerical tasks such as proofreading documents, preparing reports, and managing correspondence.
  • Maintain office supplies inventory, oversee filing systems, and ensure the office environment remains organized and welcoming.

Experience

  • Proven office experience or administrative experience in a fast-paced environment.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
  • Experience with QuickBooks or similar bookkeeping software is preferred.
  • Excellent organizational skills with the ability to multitask effectively while managing time efficiently.
  • Bilingual abilities are a plus to assist diverse client needs and facilitate clear communication.
  • Prior experience as a receptionist or medical/dental receptionist is advantageous.
