Duties
- Manage extensive paperwork related to Real Estate transactions, ensuring accuracy and timely submission. Input listing into the MLS and out internal data base with precision.
- Client interaction and feedback on a daily bases.
- Team Coordination - Help keep the team organized. Help maintain positive relationships with current and past clients to cultivate referral opportunities.
- Handle multi-line phone systems efficiently, screening calls and providing accurate information or routing calls as needed
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading to ensure accuracy
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and record keeping
- Assist with calendar management and appointment scheduling for team members and clients
- Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
- Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs with care

Qualifications
- Proven office management or administrative experience in a fast-paced environment
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and general office software
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Experience with clerical duties such as filing, proofreading, and document preparation
- Familiarity with multi-line phone systems, phone etiquette, and customer support best practices
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience as a receptionist—medical or dental—is a plus; personal assistant experience is also valued
- Knowledge of bookkeeping software like QuickBooks is advantageous but not required
