Administrative Assistant (Accounting & Operations Support)
We are seeking a highly organized, adaptable, and detail-oriented Administrative Assistant to support multiple business entities. This role requires strong accounting knowledge, excellent organizational skills, and the ability to manage multiple priorities with accuracy and consistency.
Key Responsibilities
- Manage Accounts Payable (A/P) and Accounts Receivable (A/R) processes
- Maintain and update financial records in QuickBooks Online (QBO) daily
- Accurately categorize and code transactions across multiple entities
- Assist with monthly reconciliations and reporting support
- Support sales tax tracking, preparation, and reporting assistance
- Assist with payroll calculations and related data preparation
- Maintain organized digital filing systems and documentation
- Support scheduling, calendar management, and general administrative tasks
- Communicate effectively with internal teams and external vendors
- Identify and resolve discrepancies with a problem-solving mindset
- Take initiative to improve processes and maintain efficiency
- Assist with other tasks and projects as assigned
Required Skills & Qualifications
- Experience with Accounts Payable (A/P) and Accounts Receivable (A/R)
- Knowledge of sales tax processes and payroll calculations
- Proficiency in QuickBooks Online (QBO)
- Strong Microsoft Office skills (Excel, Word, Outlook)
- High attention to detail and strong organizational skills
- Excellent time management and ability to meet deadlines
- Strong written and verbal communication skills
- Ability to work independently and take initiative
- Consistent, dependable, and process-driven work style
