Administrative Assistant

Duties

  • Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems with confidence and courtesy
  • Handle incoming calls using proper phone etiquette, directing inquiries efficiently and providing exceptional customer support
  • Manage calendar appointments, schedule meetings, and coordinate office events to optimize team productivity
  • Perform data entry, filing, and document proofreading to maintain accurate records and ensure clarity in all communications
  • Utilize computer skills with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and presentations
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping and invoicing
  • Support office management activities including supply ordering, maintaining office equipment, and organizing files for easy access

Experience

  • Proven office experience or clerical background demonstrating strong organizational skills and attention to detail
  • Familiarity with multi-line phone systems, front desk operations, and professional phone etiquette.
  • Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace tools, data entry, and proofreading skills
  • Experience in customer service roles or as a receptionist—medical or dental receptionist experience is a plus—highlighting your ability to handle sensitive information discreetly
  • Knowledge of office management practices such as calendar management, filing systems, and time management techniques
  • Personal assistant experience or administrative support roles that showcase your ability to multitask efficiently in a fast-paced environment
