Responsibilities

  • Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate phone systems, answer inquiries, and route calls efficiently using excellent phone etiquette
  • Maintain accurate data entry records using Google Workspace, CRM Software and other office software tools
  • Handle clerical tasks including filing, proofreading documents, and organizing digital and physical files
  • Support calendar management by scheduling appointments, meetings, and coordinating events with attention to detail
  • Provide customer support by responding promptly to inquiries via phone or email, ensuring positive interactions
  • Support Office Manager and Project Managers with day to day tasks

Skills

  • Proven experience in office management or administrative roles with strong organizational skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent computer literacy including data entry, document proofreading, and general office software use
  • Bilingual abilities are highly valued for effective communication with diverse clients and team members
  • Strong time management skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Experience with front desk operations, multi-line phone systems, and customer service excellence
  • Knowledge of clerical procedures such as filing systems, calendar management, and record keeping
  • Personal assistant or receptionist experience is a plus for understanding specialized workflows
