We are seeking a dependable, organized, and detail-oriented Administrative Assistant to support our Intake Team. Responsibilities include collecting new client packets, submitting appeals, checking case statuses with the Social Security Administration (SSA), confirming SSA acknowledgments, and assisting clients with SSA paperwork requests. This role is well-suited to someone who values structure, meets deadlines consistently, and can manage a high volume of work with accuracy.

Chad Brown Law is a fast-growing law firm dedicated to representing clients in Social Security disability cases. We serve people suffering from physical or mental impairments — many at a time of great stress, uncertainty, and need. The Administrative Assistant supporting our Intake Team helps keep cases organized, on schedule, and moving forward through the early stages of the disability process.

Our firm also holds a weekly prayer meeting; attendance is not mandatory, but candidates should be accepting of this ongoing part of our firm culture. If this environment is not one you would feel comfortable in, this position may not be the right fit.


Salary Range: $36,000.00 - $42,000.00 per year

Responsibilities

Key Responsibilities

  • Obtain new client packets electronically — guide clients through digital paperwork and follow up until packets are returned and complete.
  • Submit appeals as part of the Social Security disability process (Request for Reconsideration and Request for Hearing) within deadline, through the appropriate SSA channels.
  • Check the status of pending cases with SSA on a regular cadence — via the SSA portal, by phone with field offices and DDS, and through ERE — and update the firm's case management system accordingly.
  • Engage with clients to assist with SSA requests, including Function Reports, Work History Reports, ADL questionnaires, consultative exam (CE) appointments, and other SSA-required forms.
  • Confirm SSA acknowledgments of filed paperwork and appeals; follow up on missing acknowledgments until receipt is documented.
  • Maintain accurate, up-to-date case notes and status logs.
  • Handle a high volume of client communication — phone, email, and text — in a professional and courteous manner.
  • Coordinate with the Intake Director, Intake Coordinator, attorneys, and case managers to keep cases on schedule and ensure deadlines are met.
  • Maintain strict adherence to firm protocols, HIPAA, confidentiality, and documentation standards.


Ideal Traits

  • Organized and structured. Comfortable managing a high volume of work without losing track of details.
  • Deadline-driven. Reliable about meeting filing deadlines and completing follow-ups on time.
  • Detail-oriented. Catches missing signatures, incorrect dates, and incomplete forms before they cause issues.
  • Persistent in follow-up. SSA, DDS, and clients sometimes delay; able to follow up professionally and consistently until tasks are completed.
  • Patient and courteous with clients, many of whom are dealing with serious health issues.
  • Process-oriented. Comfortable following protocols and working within a structured workflow.
  • Fast and accurate at a keyboard. Typing speed of 60+ WPM strongly preferred.
  • Comfortable with technology, including email, e-signature platforms, client portals, SSA's online tools, and general office software.
  • Compassionate and respectful toward clients in difficult circumstances.
  • Trustworthy and discreet with sensitive personal and medical information.
  • Self-directed. Takes ownership of assigned tasks and follows through without constant supervision.


Qualifications

  • Prior experience is not required — we will train the right person. However, the candidate must demonstrate above-average intelligence, strong organizational ability, and willingness to learn complex procedures.
  • Good verbal and written communication skills; professional demeanor on the phone with both clients and government agencies.
  • Ability to work independently, prioritize tasks efficiently, and manage a high volume of work.
  • Comfortable working within established protocols and structured workflows.
