Duties
- Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette.
- Maintain organized filing systems, both physical and digital, including data entry and document proofreading for accuracy.
- Utilize Microsoft Office Suite tools for correspondence, reports, and presentations.
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices.
- Provide customer service support by addressing inquiries efficiently and offering assistance with administrative needs.
- Perform clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory.
- Support office management activities to ensure a productive work environment and streamline administrative processes.
- Handle sensitive information with discretion while maintaining high standards of confidentiality.
Experience
- Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
- Prior experience using QuickBooks for bookkeeping or financial record-keeping is highly desirable.
- Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint) applications.
- Excellent organizational skills with the ability to multitask effectively in a fast-paced setting.
- Strong written and verbal communication skills; bilingual abilities are a plus for serving diverse clients.
- Experience managing multi-line phone systems and providing exceptional customer support.
- Knowledge of medical or dental receptionist duties is advantageous but not required; experience in personal assistant roles is beneficial.
- Ability to perform data entry accurately while maintaining attention to detail for proofreading documents.
- Familiarity with office equipment such as fax machines, scanners, and printers along with basic bookkeeping knowledge using QuickBooks or similar software.
