JOB SUMMARY
Work is performed under general supervision and in accordance with the Policies & Procedures of Good Vibes Therapy Center, LLC.
Reports to: Office Manager Directly
Managed by: Chief Operations Officer/Director of Operations
PRINCIPAL DUTIES AND RESPONSIBILITIES
● Reception: Greeting of arriving & departing clients
● Appointment scheduling & schedule maintenance
● Data entry into practice management system
● General office duties: Answer phone system, faxing, scanning, mailing, etc.
● Gathering information from new clients (pre-screens, demographics, billing)
● Managing office inventory & need supplies
● Payment collection and receipts
● Give and receive direction to and from therapist and clients
● Assist the HR team with filing, assembling and maintaining personnel files in compliance with applicable legal requirements, as well as internal audit requirements.

● Creates and maintains documentation supporting HR processes.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
● Excellent communication skills, oral and written
● Ability to handle and manage conflict if it shall arise
● Computer literacy (ability to navigate practice management software and Microsoft)
● Ability to multi-task
● Ability to relate to people, put clients at ease, and maintain professional yet personable relationships with staff and counselor.
● Excellent customer service skills
● Acute awareness and execution of confidentiality and HIPAA standards & requirements
● Staff must be willing to obtain certification in: Cardio Pulmonary Resuscitation (CPR) and First Aid.
REQUIRED QUALIFICATIONS
● An undergraduate degree or current college enrollment in mental health, psychology, social work or related field is preferred, not necessary.
EXPERIENCE
● Experience with a practice management program and medical insurance a plus, but not required.
PHYSICAL DEMANDS
● While performing the duties of this job, the office assistant must have the ability to occasionally lift and/or move up to 25 pounds. May be required to sit for long periods of time.
