Administrative Assistant

The Role (What You’re Actually Doing)

This is not a “sit there and answer phones” admin job. You’ll be the operational backbone of our tax resolution work.

Guillemaud Law Boutique, a modern legal + tax firm, is hiring a detail-obsessed Administrative Assistant to support high-volume backend processes tied to IRS and FTB matters.

You’ll start by handling the critical tasks that keep cases moving (and clients from falling off the map). If you prove you can handle it, this role will expand into full tax resolution support, including direct interaction with taxing authorities.

Core Responsibilities (Day 1)

  • Preparing, sending, and tracking Power of Attorney (POA) forms
  • Ensuring all POAs are properly processed with the IRS and FTB
  • Handling POA rejections and fixing them (not ignoring them and hoping they go away)
  • Pulling IRS and FTB transcripts, notices, and account data
  • Data entry and case file management (accuracy matters more than speed)
  • Following up with clients to: sign initial documents, re-sign expired forms, provide missing information, keep case files clean, organized, and actually usable

What You’ll Grow Into (If You Don’t Drop the Ball)

  • Managing tax resolution notices and deadlines
  • Assisting with IRS & FTB calls
  • Supporting installment agreements and collections matters
  • Drafting basic correspondence to taxing authorities
  • Becoming a key player in case strategy execution (not just admin support)

Who This Is For

  • You’re the person who notices when something is missing and fixes it without being asked
  • You don’t get overwhelmed by repetitive tasks; you get efficient
  • You follow up. Then follow up again. Then actually close the loop
  • You’re organized enough to track multiple moving pieces without chaos
  • You take ownership of your work (no hand-holding required after training)
  • You communicate clearly and professionally with clients
  • You can handle direct, fast-paced communication (yes, including some swearing, it’s part of the culture)

Bonus points if you have:

  • Experience with IRS/FTB systems, transcripts, or POAs
  • Prior admin or legal support experience (tax is a huge plus)
  • Experience managing deadlines and compliance-heavy workflows

What Will Not Work Here

  • You need constant direction
  • You “forgot to follow up” more than once
  • You submit work without checking it
  • You wait for problems to fix themselves (they won’t)
